Agenda for the February EXCOM

  • Mention the Feb. 15 deadline for reporting to get the bonus. Make sure everyone knows about the reporting requirements.
  • Discuss how to provide the maximum support for the student branch's bid to host the spring micro-mouse, student paper and project design competition for the Central Area this year. In the past these competitions were held in conjunction with a meeting of Central Area Section representatives, but this spring only the student competitions are being held. The money allocated for travel is the same as they had previously, but fewer non-students will be going. An MTT member talked about what was needed to get funding from the MTT Society to pay for his travel expenses. This should make Hawaii a more viable option providing economical accommodations are located and the Section members help out with judging, etc.
  • Discuss how to maximize the Student Branches' chances of winning the "Best Student Branch" awards.  Last year they won the Area award but not the Region award.  The input I received from the Region indicated they were very impressed by the image of the Branch conveyed in the nomination packet, but that the branch did not have much of a chance against Student Branches with enormous numbers of members (1000's). In view of the unfairness of this, they are now having two awards, one for small branches (less than 100 members) and one for large branches.  We need to emphasize the growth of the branch, addition of the MTT student chapter, the bid to host the Area competitions, cooperation among the branches, etc.
  • Discuss the funding available for humanitarian projects and prospects for hosting GHTC 2014.
  • Decide whether to have a second IEEE table at the Engineering Week Awards Banquet.
  • Discuss appointing additional EXCOM members, ratify the Student Representatives and find a replacement for the Student Activity Chair who has expressed the desire to step down. The Vice Chair, Chris Russell, has agreed be the POC for the Science and Eng. Fair judging this year.
  • Plan for Section Elections. Establish a Nominations Committee and a tentative schedule.
  • Discuss how to publicize the Business Card Exchange Meeting and inviting companies and chapters to participate.
  • Discuss having a sister section to the Hawaii Section.
  • Plan additional meetings, such as, a Senior Member Elevation Event and tech. talks. Make sure the Section and Chapters report the required number of meetings.

Minutes of Section Meeting

The Hawaii Section has decided that we should have at least one table at the Engineer's Week Awards Banquet this year.  Half the seats will be reserved for student members.  Members desiring to attend can reserve a place at the IEEE members' table on a first come, first serve basis via the announcement, https://meetings.vtools.ieee.org/meeting_view/list_meeting/16413,

The Hawaii Section has decided it will allocate $600 for  the Business Card Exchange again this year. Grant Torigoe and Colene Pekelo are working on the arrangements. The meeting will be scheduled 5:30 pm to 8:30 pm, on 11 March, 2013 at the same location as last year.  Our Pace Chair, David Morse, will look into the possibility of PACE funding for the event. We want to encourage people in industry to attend. Our Vice Chair suggested that Lynn Fujioka of  isisHawaii should be invited to attend.

Region 6 is paying for the Section Chair, John Camery, to attend the Region 6 OPCOM Meeting in Las Vegas, 1-3 Feb., 2013. He should be back in time for the next Section EXCOM Meeting on 4 Feb., 2013. RSVP for the next Section EXCOM at https://meetings.vtools.ieee.org/meeting_view/list_meeting/16411. We are now scheduling technical talks immediately after EXCOM meeting. Future talks may include talks by the Vice Chair, Chris Russel, on biotech and further talks on graphene by the Chair.  Chapter Chairs wishing to schedule chapter technical talks in conjunction with Section EXCOM Meetings should contact the Section Officers to schedule this.

Dave Morse is looking into scheduling a STEM Meeting. It was mentioned that Katie Klinger is interested in working with the IEEE on STEM.  Dave Morse is encouraged to get in contact with her to see if we can arrange to have her speak at a Section meeting.

This is an important election year for the Hawaii Section.  The IEEE has instituted new term limits.  This means we need new candidates as most of our officers will be affected by these limits.  The Section and Chapters officers should read the new rules in Section 9.4 and 9.6 of the MGA Operations Manual.

IEEE-USA Government Fellowships

Each year, IEEE-USA sponsors qualified IEEE members to serve as government fellows.  The fellows spend a year in Washington, serving as advisers to the U.S. Congress (Congressional Fellow) or key U.S.
Department of State (Engineering and Diplomacy Fellow) decision-makers.  IEEE-USA's Government Fellowships link engineers with government, providing a mechanism for IEEE-USA members to learn
firsthand about the public policy process through personal involvement. The Fellows serve one year terms from September 1st to August 31st.

Congressional Fellowship Program

The congressional fellowship consists of an appointment to the personal staff of a U.S. Senator or Congressman or to the professional staff of a Congressional Committee. For an application Kit for the 2013-14 Congressional Fellowship Program, visithttp://www.ieeeusa.org/policy/govfel/cfapply.asp

Engineering & Diplomacy Program

The State Department fellowship offers an opportunity for an engineer to provide technical expertise to the State Department and help raise awareness of the value of engineering input while learning about and contributing to the foreign policy process. For an application Kit for the 2013-14 Engineering & Diplomacy (State Department) Fellowship Program, visit: http://www.ieeeusa.org/policy/govfel/state.asp

Deadline

The postmark application deadline for 2013-14 Fellowships is 8 February 2013. For more information, visit:

A note on our Web Presence for our Officers

IEEE Web Hosting Link is the link you use to find our websites. We are in Region 6. So go to Region 6 and look under either Councils, Sections & Subsections or Chapters (technical activities in your local area) & Affinity Groups.

Link for Announcing Meetings is where you go to announce a meeting. The calendars of the websites are automatically updated with a link to meeting announcement. After the meeting, you go back to the announcement and enter the number of members and guests to automatically generate the required L31 report.

Training for Officers on Updating our Website Officers should put information on the website that needs to be conveyed to members and the general public. Information can be inserted manually or automatically fed from a blog.

Officers are encourage to use LinkedIn, Twitter, Facebook, Blogs, press releases, and websites of professional groups specific to Hawaii like Wilik and TechHui to publicize IEEE activities,as well as, communicating them to our Newsletter Editor, David Morse.

We do not have a Webmaster, if you know of someone who would like to volunteer for this position, notify your Chair. Thanks.
